How to brief a venue finder

A venue finder is only ever as good as the brief they are given. Get these few things right and a sharp, like-for-like shortlist comes back quickly.

The five things that matter most

  • Numbers: delegate or guest count, even a range
  • Dates: firm, or a window, and whether you're flexible
  • Location: a city, a region, or "open to suggestions"
  • Budget: per delegate or total, a range is fine
  • Format: conference, function, launch, retreat, accommodation

Helpful, but optional

Room setup, AV needs, catering, accessibility, the feel you're going for, and whether you need accommodation. The more you share, the tighter the shortlist, but don't let missing detail stop you starting.

Which specific venues to approach, what's actually available, and what the right rate is. That's our job. We'd rather you tell us the outcome you want than try to name venues you've seen online.
